Karbon alternative for bookkeepers who only need monthly documents

A Karbon alternative for small bookkeeping firms whose real problem is collecting monthly statements and receipts, compared on public pricing and features.

ยท 5 min read

If the reason you are looking at Karbon, or looking to leave it, is the monthly chase for client statements and receipts, a narrow document collection tool is the alternative to weigh. If you want to run your whole firm in one place, with work, email, deadlines and staff, other practice management suites such as Financial Cents, TaxDome, Canopy and Jetpack Workflow are the like-for-like alternatives, and this page is not the right comparison.

This page compares Karbon with Month-End Docs, which we make, on that one job. Karbon's details come from its public pricing page as it read on October 14, 2026. Pricing pages change, so check theirs before you decide.

What is Karbon, and what do bookkeepers use it for?

Karbon is practice management software for accounting firms: it runs the firm's work, shared email, deadlines and team in one place. Its pricing page also lists automated client requests and a client portal with document sharing on every plan, and automatic client reminders on its Business plan.

So Karbon can collect monthly documents. The question is whether you need the rest of it to do so. Firms on Reddit's r/Bookkeeping asking how to stop chasing monthly statements get Karbon named alongside Financial Cents, Content Snare, Double and Uncat, which is a mix of suites and narrow tools for the same complaint.

How much does Karbon cost?

Karbon is priced per user. From its pricing page on October 14, 2026, in US dollars:

PlanPaid annually, per user per monthPaid monthly, per user per month
Team$59$79
Business$89$99
EnterpriseCustomCustom

The page says monthly billing is only available for teams of 4 or more. Automatic client reminders appear under Business, not Team. For a solo bookkeeper who wants reminders, that is the $89 per user Business plan, paid annually.

Month-End Docs is a flat monthly price for the firm, for up to 75 active clients (see pricing).

How do Karbon and Month-End Docs compare for monthly documents?

On the monthly document job, the difference is scope: Karbon does it as one part of a firm-wide system, and Month-End Docs does only that job.

When is Karbon the better choice?

Karbon is the better choice when document collection is one small part of a bigger problem.

  • You want one system for the whole firm. Work, shared email, deadlines and staff in one place is what Karbon is built for. Month-End Docs does none of that.
  • You have a team. Several people working the same clients need their own logins and a shared view of the work.
  • You already pay for Karbon. If it is in place and your clients use its portal, its client requests are the obvious first thing to try before adding another tool.

When is Month-End Docs the better choice?

Month-End Docs is the better choice when the monthly chase is the whole problem and you do not want to move your firm into a suite to fix it.

  • You are solo or a very small firm. A flat price for the firm is simpler than paying per user for features you will not use.
  • Your clients will not log in to a portal. One link per client, opened from the email on a phone, with nothing to remember.
  • You chase receipts for specific charges. Export the uncategorized transactions, tick the rows, and each becomes a receipt request.
  • You want to see who is holding up close. The month's client list is sorted with the clients missing the most at the top.

Can you use both?

Yes. Some firms keep their practice management suite for work and deadlines and hand the document chase to a narrower tool. The cost is a second place to look; the gain is that monthly requests and reminders run without you building them in a suite. If you go that way, set each client's monthly checklist up once, as in our bookkeeping client onboarding checklist, and keep the close itself on your monthly bookkeeping checklist.

How do you switch without losing a month?

Switch at a month boundary, so no client gets two requests for the same month.

  1. Let the current tool finish the month already open.
  2. Before the next request day, set up each client's recurring list: accounts with institution and last four digits, payroll reports, loans.
  3. Tell each client once that next month's request comes from a new link that names your firm.
  4. Keep the old files for as long as your retention policy says.

FAQ

How expensive is Karbon?

Karbon's pricing page lists Team at $59 per user per month and Business at $89 per user per month, both paid annually, or $79 and $99 paid monthly, which is only offered for teams of 4 or more. Enterprise is custom. Check the page for current prices.

Is Karbon good for accounting firms?

It is built for them: Karbon is practice management for accounting firms that want work, email, deadlines and team in one system. Whether it is good for yours depends on whether you need all of that. A firm that only needs monthly documents collected may be paying for much more than it uses.

What is Karbon software used for?

Running an accounting firm's work: jobs and tasks, shared email, deadlines, team capacity, client records, and client requests through a portal. Document collection is one feature among many, not the product's focus.
