Hubdoc alternative for bookkeepers who chase client documents

Looking for a Hubdoc alternative? How receipt capture differs from chasing clients for monthly statements, and which job each tool does for a bookkeeping firm.

ยท 5 min read

The right Hubdoc alternative depends on which job you used Hubdoc for. If you used it to capture bills and receipts and publish them into Xero or QuickBooks, look at another capture tool such as Dext or AutoEntry; if your real problem is clients who never send the documents in the first place, you need a tool that asks and reminds, such as Month-End Docs, which we make.

Bookkeepers often lump the two jobs together because both end with a file in the right place. They are different steps, and most firms that drop Hubdoc find out which one they were missing. This page sets them side by side, honestly, including what Month-End Docs does not do.

Capturing what arrives and asking for what has not arrived are two different jobs.

What does Hubdoc actually do?

Hubdoc is a document and data capture tool owned by Xero. It takes bills and receipts that you or your client send in, reads the key details from each one, stores the file and publishes it to your accounting software, so you are not typing the data by hand.

Its own site describes it as getting "bills and receipts into your accounting software, without manual data entry." Comparison pages from other capture vendors argue over how much detail it reads from each document, which matters if you code bills line by line. That debate is about capture accuracy, not about getting clients to send anything.

Why do bookkeepers look for a Hubdoc alternative?

The reasons we see in bookkeepers' own words split into two groups. Some want better capture: more line detail, more suppliers fetched automatically, or a tool that suits QuickBooks as well as Xero. Others were never short on capture; they were short on documents.

A solo bookkeeper on r/Bookkeeping in May 2026 described the second problem plainly: "spending half my week chasing down small business clients via text and email just to get them to upload their monthly statements and receipts." A capture tool cannot fix that. It processes the files that arrive; it does not chase the ones that do not.

How do Hubdoc and Month-End Docs compare?

They overlap less than the names suggest. The table compares them on the monthly job of a small bookkeeping firm. Hubdoc details are from its public site and the comparison pages ranking for this search on October 14, 2026; check Hubdoc's own pages before you decide.

What does Month-End Docs not do?

It is narrower than Hubdoc in the ways that matter if capture is your problem. It does not connect to Xero, QuickBooks Online or QuickBooks Desktop, does not publish bills or receipts into a ledger, and does not code transactions. It does not fetch statements from banks or suppliers by itself; the client uploads them.

It also sends email only, with no SMS, and has one login per firm. Files are kept for 180 days and then deleted, so it is a collection step, not a document archive. If you need a long-term home for source documents, keep using your ledger's attachments or your own storage.

When is a capture tool the better Hubdoc alternative?

Choose another capture tool when your clients already send their documents reliably and the time goes into data entry. The tools that come up most often in these comparisons are Dext and AutoEntry, with newer AI extraction tools appearing alongside them.

  • You publish many bills a month. Extraction and supplier rules save typing on each one.
  • You code bills line by line. Compare how each tool handles line items before switching.
  • You want automatic fetching. Some tools pull statements and bills from connected suppliers.

When is a chasing tool the better Hubdoc alternative?

Choose a chasing tool when the documents are late, not when the typing is slow. If you write reminder emails every week and keep a separate list of who still owes you a card statement, the missing step is asking, and that is what Month-End Docs does.

Each client gets one monthly request listing the exact statements and receipts still missing, reminders on a schedule until each item arrives, and an "I don't have this" answer with a note. You see which clients are holding up close. Some firms run both kinds of tool: one to get the files in, one to process them. Our document collection software guide lists what to check in any tool that does the asking.

How do you set up either one without losing a month?

Switch at a month boundary, and write the client's document list down first. Whichever tool you pick, it is only as good as the list of accounts it works from.

  1. Finish the open month in your current setup.
  2. List each client's accounts with institution and last four digits, payroll reports and loans. The bookkeeping client onboarding checklist has the full inventory.
  3. Tell clients once, before the next request day, how and where to send documents from now on.
  4. After one month, count how many reminder emails you wrote and how many clients held up close, and compare.

If you are also weighing Content Snare, our Content Snare alternative comparison covers it on the same job, and the monthly bookkeeping checklist shows where collection fits in the close.

FAQ

Which is better, Hubdoc or Dext?

They do the same job, capturing bills and receipts and publishing them to your ledger, and the better one depends on your ledger, how much line detail you need and which suppliers you want fetched. Run the same month of documents through both before deciding.

What software do most bookkeepers use?

Most small US bookkeeping firms keep the books in QuickBooks Online, Xero or QuickBooks Desktop, then add tools around it for capture, client requests and practice management. Which add-ons a firm needs depends on where its time goes.

Is Hubdoc still free with Xero?

Hubdoc has been offered with Xero subscriptions, but plans and inclusions change. Check Xero's current pricing page for your plan rather than relying on a comparison page, this one included.
