Document request template: emails for client statements and receipts

Copy-ready document request template emails for asking clients for monthly statements and receipts, with reminders and a request to send a file again.

ยท 5 min read

Most bookkeepers write the same email to every client at the start of each month, then write it again, a little shorter and a little less patient, a week later. A good template saves the typing. A better one gets the documents faster, because it tells the client exactly what to send, where to send it and by when.

Below are four templates for monthly bookkeeping clients: the first request, a reminder, a final reminder, and a "please send it again" for a file that came in wrong. Each one is plain text so it reads the same in every inbox. Change the parts in square brackets.

A ruled notepad with a green fountain pen, a sealed cream envelope and two small receipts on a desk
The best request is specific: which account, which month, which charge.

What makes a request work

Before the templates, the rules they follow:

  • Name your firm in the subject line. "Documents needed for September" from an address the client does not recognize looks like phishing. "[Firm name]: documents needed for September 2026" does not.
  • List the exact items. Name each account by institution and last four digits, and each receipt by amount, merchant and date. Clients send what is listed and nothing else.
  • Never ask for full account numbers. The last four digits are enough to identify an account, and an email with full numbers in it is a risk if it is forwarded.
  • Give one way to send. A single link or a single address. If clients can send files by email, text, a portal and a shared folder, you will spend the month looking for them.
  • Say what to do if they do not have something. A client with no payroll this month, or a closed account, should be able to say so instead of ignoring the whole email.
  • Give a date. "By the 10th so we can close your books" is clearer than "as soon as possible".
  • Keep reminders shorter than the request, and list only what is still missing.

Template 1: the monthly request

Send on the same day each month, such as the 3rd.

Subject: [Firm name]: documents needed for [Month Year]

Hi [Client first name],

To close your [Month] books, we need these:

  - Bank statement, [Bank] ending [1234]
  - Credit card statement, [Card issuer] ending [5678]
  - Payroll register for [Month]
  - Receipt for $[amount] at [merchant] on [date]

Please send them by [date] using this link: [upload link]
No login or password is needed.

If you don't have one of these (for example, no payroll this month), just reply and tell us, and we'll take it off the list.

Thank you,
[Your name]
[Firm name]

Template 2: the reminder

Send a few business days after the request, listing only what has not arrived.

Subject: [Firm name]: [2] items still needed for [Month Year]

Hi [Client first name],

A quick reminder. These are still needed for your [Month] books:

  - Credit card statement, [Card issuer] ending [5678]
  - Receipt for $[amount] at [merchant] on [date]

Here's the link again: [upload link]

If you don't have one of them, reply and let us know.

Thank you,
[Your name]

Template 3: the final reminder

Send when the close date is close. Keep it friendly; explain what happens next instead of threatening.

Subject: [Firm name]: last item needed to close [Month Year]

Hi [Client first name],

We're ready to close your [Month] books except for one thing:

  - Credit card statement, [Card issuer] ending [5678]

If we don't have it by [date], we'll close the month with those card charges marked for review and catch them up next month. That can mean your [Month] reports change later.

Thanks,

Change the second paragraph to match how your firm actually handles a late document. Some firms hold the month open; some close it and adjust later. Say whichever is true.

Template 4: please send it again

For a file that arrived but cannot be used: the wrong month, the wrong account, or a photo too blurry to read.

Subject: [Firm name]: please send [item] again

Hi [Client first name],

Thank you for sending your [Month] documents. We need another copy of this one:

  - Credit card statement, [Card issuer] ending [5678]

The file we received [is the August statement / ends in a different account number / is too blurry to read the amounts].

You can upload it here: [upload link]

Thank you,
[Your name]

Asking for receipts without a long email

Receipt requests are where emails get long. A client with twenty uncategorized charges will not read a list of twenty. A few things help:

  • Ask only for what you need. Skip charges you can identify from the merchant name or the client's history.
  • Group small charges. "Receipts for four charges at office supply stores" with the list on the upload page is easier to act on than four separate lines.
  • Let the client answer instead of uploading. "That was a personal charge" is often a more useful reply than a receipt.
  • Start from your ledger. Export the uncategorized transactions from QuickBooks Online, Xero or QuickBooks Desktop as a spreadsheet, delete what you can explain, and paste the rest into the request.

Timing that works

A simple schedule most clients get used to quickly:

DayWhat goes out
Request day (for example, the 3rd)Template 1, to every monthly client
Three business days laterTemplate 2, to clients still missing items
Every three business days afterTemplate 2 again, until the list is empty
A few days before your close dateTemplate 3
Whenever a file can't be usedTemplate 4, for that item only

Stop reminding for any item as soon as it arrives. Nothing loses a client's goodwill faster than a reminder for something they sent yesterday.

When templates are not enough

Templates make each email faster. You still send every one by hand, track who has replied, and work out who needs the next reminder. With a handful of clients that takes an hour a month. With thirty it takes days. The monthly bookkeeping checklist shows where this fits in the rest of your close.

Month-End Docs sends the request and reminder emails for you. On your request day, each client gets their list and one upload link, with no login. Reminders list only what is still missing and stop for each item when it arrives; clients can mark something they don't have, with a note. You see which clients are holding up close.

Get every client's statements in before close, without chasing

Month-End Docs sends each client one link listing exactly what is still missing, reminds them until it arrives, and shows you who is holding up close.
